Introduction

When you use our equipment management platform and website, information about you and your equipment is collected and used to customise and improve our RFID equipment tracking services. If you do not wish for information to be collected, you should delete your cookies and refrain from further use of our platform.

Our equipment management website uses "cookies", which are text files stored on your computer, mobile or tablet for the purpose of recognising you, remembering equipment management settings, performing statistics and optimising our services.

Personal Data and Equipment Data

General

Personal data is any kind of information that can in some way be attributed to you. When you use our equipment management platform, we collect and process a number of such pieces of information together with data about your equipment.

We typically collect and process the following types of information: A unique ID and technical information about your computer, tablet or mobile phone, your IP number, geographical location, and which pages you visit on our platform.

Equipment-Specific Data

As an equipment management platform, we also collect the following data about your equipment:

  • Equipment registration: Name, serial number, model and description
  • RFID Data: RFID tag ID, EPC codes and reader information
  • Location data: Equipment position and movement history
  • Usage statistics: Check-in/check-out times and loan information
  • Maintenance: Service history and condition reports
  • API activity: API requests and system logs

Equipment Data Security

We have taken special technical and organisational measures to protect your equipment data against unlawful access, loss or misuse. All equipment data is encrypted both in transit and at rest.

Purpose

The information is used to identify you as a user of our equipment management platform and to deliver services, including:

  • RFID equipment tracking and localisation
  • Automatic equipment registration and check-in/check-out
  • Equipment loan administration and reports
  • Maintenance reminders and service tracking
  • API services for integration with other systems
  • Mobile app functionality for equipment management

Retention Period

Equipment data and personal data are stored for the period permitted under applicable legislation.

Specific retention periods

  • RFID logs: 90 days for troubleshooting
  • Equipment registration: As long as the equipment is active
  • Location history: 2 years for reporting
  • API logs: 90 days
  • User accounts: Until the account is deleted or 3 years after last activity
  • Maintenance data: 5 years for compliance

Disclosure of Information

Data about your use of the platform is not disclosed to third parties for commercial purposes. We only share equipment data in the following situations:

  • With your explicit consent
  • To our data processors for system operation
  • To comply with legal requirements or court orders
  • To protect our or others' rights

Special Provisions for RFID

Our RFID equipment tracking system automatically collects data about equipment position and movements. This data is used solely for equipment management purposes.

  • RFID tags contain only a unique ID — no personal data
  • The link between RFID ID and equipment exists only in our secure database
  • Location data is anonymised after 90 days
  • You can have RFID tracking deactivated at any time

Mobile App Privacy

Our mobile apps only collect data necessary for functionality:

  • Camera permission for QR/barcode scanning
  • Location services for equipment localisation
  • Push notifications for alarms
  • Secure API communication with encrypted data
