Introduction

When you use our equipment management platform and website, information about you and your equipment is collected and used to customise and improve our RFID equipment tracking services. If you do not wish for information to be collected, you should delete your cookies and refrain from further use of our platform.

Cookies

Our equipment management website uses "cookies", which are text files stored on your computer, mobile or tablet for the purpose of recognising you, remembering equipment management settings, performing statistics and optimising our services.

Our platform contains cookies from third parties:

• Google Analytics for user analysis
• Microsoft Azure for hosting of data and security
• EmailJS for contact form functionality
• Firebase for user authentication and equipment data

Personal Data and Equipment Data

General

Personal data is any kind of information that can in some way be attributed to you. When you use our equipment management platform, we collect and process a number of such pieces of information together with data about your equipment.

We typically collect and process the following types of information: A unique ID and technical information about your computer, tablet or mobile phone, your IP number, geographical location, and which pages you visit on our platform.

Equipment-Specific Data

As an equipment management platform, we also collect the following data about your equipment:

• Equipment registration: Name, serial number, model and description
• RFID Data: RFID tag ID, EPC codes and reader information
• Location data: Equipment position and movement history
• Usage statistics: Check-in/check-out times and loan information
• Maintenance: Service history and condition reports
• API activity: API requests and system logs

Purpose

The information is used to identify you as a user of our equipment management platform and to deliver services, including:

• RFID equipment tracking and localisation
• Automatic equipment registration and check-in/check-out
• Equipment loan administration and reports
• Maintenance reminders and service tracking
• API services for integration with other systems
• Mobile app functionality for equipment management

Retention Period

Equipment data and personal data are stored for the period permitted under applicable legislation.

Specific retention periods

• RFID logs: 90 days for troubleshooting
• Equipment registration: As long as the equipment is active
• Location history: 2 years for reporting
• API logs: 90 days
• User accounts: Until the account is deleted or 3 years after last activity
• Maintenance data: 5 years for compliance

Disclosure of Information

Data about your use of the platform is not disclosed to third parties for commercial purposes. We only share equipment data in the following situations:

• With your explicit consent
• To Claude (Anthropic), when you connect Trackrs to Claude yourself — see "Trackrs in Claude" below
• To our data processors for system operation
• To comply with legal requirements or court orders
• To protect our or others' rights

Trackrs in Claude

You can choose to connect Trackrs to Claude, an AI assistant made by Anthropic, so you can look up and work with your tools, locations and projects from a conversation. The connection is optional and only exists if you add Trackrs in Claude yourself.

How the connection works

• Your own login: You sign in with your own Trackrs user and approve the access yourself. Claude never receives your password, only a time-limited access token.
• The same access you have: Claude can only see data in the companies you are a member of, and only what your role allows. Only administrators can change data through Claude.
• Only when you ask: Trackrs does not send data to Claude on its own. Data is only retrieved when you ask Claude for something, and only what is needed to answer.
• Changes need your confirmation: Claude shows what will change and waits for your yes. Changes are recorded in Trackrs as made by you.

What data may be shared

Depending on what you ask: a tool's name, serial number, brand, model, notes, status, location and movement history; locations; projects (title, address and assigned employees); names of employees and borrowers; service schedules and service dates. If your company has connected Mesterplan, projects and customers from Mesterplan may also be included, such as the customer's name, address, CVR number and contact details.

Anthropic's processing

The data Claude receives is processed by Anthropic under the terms you or your company have with Anthropic and Anthropic's privacy policy (anthropic.com/legal/privacy). Anthropic is not a data processor for Trackrs; the transfer happens at your instruction when you use the connection.

How to disconnect

You can remove Trackrs under Connectors in Claude at any time, or revoke the access under "Connected apps" on your account (idp.rs-systemer.dk/account/connections). After that, Claude can no longer retrieve data from Trackrs. Requests from Claude are logged by us like other API requests and kept for 90 days.

The workflows (skills) you can download for Claude from Trackrs contain only instructions and no data.

Your Rights

You have the right to be informed about which personal data and equipment data we process about you. You may also at any time object to the use of your information.

Specifically, you have the right to

• Access: To be informed about what equipment data we hold about you
• Rectification: To have incorrect information corrected
• Erasure: To have your personal data and equipment data deleted
• Data portability: To receive your data in a readable format
• Restriction: To restrict processing
• Objection: To object to processing

Our RFID equipment tracking system automatically collects data about equipment position and movements. This data is used solely for equipment management purposes.

• RFID tags contain only a unique ID — no personal data
• The link between RFID ID and equipment exists only in our secure database

• You can have RFID tracking deactivated at any time
